Operations Specialist

Position: Operations Specialist
Department: Operations
Location: Ardmore, PA

Operations Specialists are responsible for the production and coordination of travel documents and travel confirmations alongside general reservations assistance. They must excel in organization, communication and follow-up. Operations Specialists must be able to adapt to changing workflows and work well and efficiently during peak production times.

Operations Specialist will communicate with Travel Agents and Travelers at times to confirm a variety of travel components such as traveler information, flight times, special requests, and more. Conversational phone skills are an important part of this role.

This position will allow team members the ability to learn about our travel destinations through contact with our trusted suppliers around the world. Working alongside our Reservations Team, Operations Specialists will learn selling techniques and product offerings.


Duties and responsibilities are, but not limited to:
  • Working with the Reservations Team with management of Traveler files
  • Produce travel documents for Travel Agents and Travelers
  • Detailed updating reservations and CMS systems
  • Work closely our International offices to confirm travel arrangements
  • Answers calls from Travel Agents and Travelers to provide follow-up information on travel arrangements
  • Maintain a positive attitude within an office environment

Operations Specialist Qualifications
  • College Degree required
  • Has high level of accuracy and attention to detail while completing tasks in an efficient and timely manner
  • Excellent organizational and time management skills, especially during peak periods
  • Works well in a team environment
  • Competent mathematical and computer skills
  • Strong communication and pronunciation skills-both written and verbal
  • High level of integrity, self-discipline and maintains a positive attitude
  • Is a self-starter – must be able to work with only general direction
  • Demonstrated ability to effectively solve complex problems
  • Proficiency in Microsoft Word, Microsoft Outlook, OneNote and Excel
  • Adaptability when learning new systems that range from reservations to payments
  • The ability to work under pressure and meet deadlines, as well as adapt quickly to changing requirements.

Travel Consultant

Position: Travel Consultant
Department: Reservations
Location: Ardmore, PA

Swain Destinations is seeking Travel Consultants who share a passion for travel, and customizing unique itineraries for a variety of travelers to exotic destinations. Travel Consultants are responsible for the design, preparation, modification, sale, delivery and follow-up of customized vacation itineraries. They must have excellent communication skills, a persuasive confident manner and sales experience. They must also demonstrate a creative service spirit, a positive professional attitude and a committed desire to develop clients and sales.

Duties and responsibilities are, but not limited to:
  • Consult incoming prospects while gathering travel information pertinent to itinerary planning
  • Handle travel inquiries originating from direct phone calls, electronic communications, walk-ins, ARC-accredited retail travel agencies etc
  • Listen and evaluate client requests while responding with an effective proposal
  • Provide positive, targeted information on the areas clients seemed interested in visiting and providing friendly, high quality service
  • Persuasively apply destination and product knowledge while building relationships between clients/agents
  • Design, prepare, propose, quote, revise, deliver and follow up on detailed custom itineraries or special interest tours
  • Meet and/or exceed monthly and annual sales revenue targets and commission goals as set forth by management
Travel Consultant Qualifications
  • College Degree required
  • Detail oriented and timely in regards to day to day responsibilities and appointments
  • Organized and well presented
  • Strong knowledge of general business and hospitality skills
  • Strong communication outside and within the organization
  • Ability to work independently as well as within a team environment
  • Proficient in Microsoft Word, Excel, Internet Browsers and Outlook
  • Ideal candidates will be from, or have extensive destination experience in the destinations we sell.
